Release date: 21 September 2026
This release gives admins a second way to set up learning teams for a journey — by uploading a file instead of only randomizing — with safeguards to prevent accidental data loss.

Learning teams population
Admins populating large cohorts now have two ways to set up learning teams: uploading a file or randomizing learners automatically. The goal is to give admins more control when team assignments already exist outside the platform, such as in a spreadsheet.
For admins
From Journey edit → Discussion channels, clicking "Set up learning teams" opens a dropdown with two choices:
- "Randomize teams" — learners are split into teams automatically.
- "Upload file" — learners are placed into the teams listed in the uploaded file.
Once teams already exist for a journey, the entry button changes to "Manage learning teams".
Choosing "Upload file" starts a step-by-step flow:
- The admin downloads the file template.
- The admin uploads a .csv file.
- The system checks every row and groups the results into Errors, Missing a team, Not in this journey, and Ready for set up.
- The admin can download the Errors and Missing a team rows, fix them, and re-upload.
- "Set up" stays disabled until every learner on the journey has a team.
- On confirming "Set up," a snackbar confirms the number of teams created and that all learners were added. If setup fails, an error snackbar appears instead and the admin stays on Discussion channels.
Resetting an existing setup now asks for confirmation first.
Clicking "Reset" opens a confirmation modal explaining that any manual team changes made since the last setup will be lost. Confirming proceeds with the reset and shows a success snackbar; cancelling leaves teams unchanged.
Bug fixes
Since the September release, we've also resolved the following:
- Fixed an issue where the "Save" and "Reset" buttons showed on the Learning Teams setup page before any change was made.
- Fixed an issue where an error message from a previous CSV upload stayed on screen after a new file was selected on the bulk learner import page.
